Frequently asked questions
What counts as a "submission"?
One submission equals one completed form entry. If a respondent fills out your intake form and clicks Submit, that's one submission. Drafts, partial entries, and page views do not count against your quota.
Can I upgrade or downgrade mid-cycle?
Yes. Upgrades take effect immediately with prorated billing. Downgrades apply at the start of your next billing period. Your data stays intact in both cases — we don't delete anything when you change plans.
Is there a per-seat or per-seat pricing?
Professional and Enterprise plans are priced per seat. A "seat" is one person with edit access to forms and submissions. Viewers and respondents never need an account, so they're free.
What happens when I exceed my submission limit?
Forms stay live and visible, but new submissions queue until the next billing cycle. You'll get an email at 80% and 100% capacity. Alternatively, upgrade mid-cycle to unblock immediately — no data loss.
Do you offer discounts for nonprofits or education?
Yes — 50% off Professional and Enterprise for verified 501(c)(3) organizations, K–12 schools, and higher-ed institutions. Email us at nonprofits@formflow.io with your EIN or accreditation letter.
Can I export my data if I leave?
Absolutely. Every plan supports CSV, JSON, and PDF export. Enterprise customers can also trigger automated nightly backups to S3, GCP, or Azure Blob storage via our API.
